Job Summary:
Under general supervision, the Management Assistant role provides general support to the Chief Sustainability Officer (CSO), Senior Vice President of Safety (SVP Safety) and the Vice President of Safety (VP Safety), as well as supporting other personnel as needed.

Job Description:

The Management Assistant in this role will:

  • Maintain work schedules, emails, calendars and organizes complex activities such as meetings, travel, conferences and other department activities for the CSO, SVP Safety, VP Safety and additional personnel as needed.
  • Produce general correspondence and assist in preparation of oral and written communication for CSO, SVP Safety and VP Safety to include but not limited to memos, presentations, spreadsheets and speeches.
  • Prepares invoices, reports, memos, letters, financial statements and other documents using word processing, spreadsheet, database or presentation software.
  • Completes expense reports for CSO, SVP Safety, VP Safety and additional personnel as needed.
  • Responds to incoming requests for information to include answering phone calls, e-mail, and correspondence promptly to provide information as required.
  • Acts as the point of contact for CSO, SVP Safety and VP Safety with other executives, business units and external agencies by responding to requests for information and outlining company policies.
  • Maintains files and records for the department including a library of trade journals and magazines.
  • Participates in special projects by conducting research, compiling data, and preparing presentations for executives and communications to employees.
  • Displays good judgement and initiative when handling sensitive matters and situations.
  • Provide oversight and authority on budget decisions for J.B. Hunt special events such as Million Mile Celebration, Truck Driving Championship, etc.
  • Provide guidance and approval on travel arrangements for Safety department
  • Manage all corporate giving arrangement managed by the Safety department to include but not limited to membership dues, professional organization contributions, etc.
  • Greets visitors and coordinates meetings according to personnel and resource availability.
  • Supports any and all additional personnel as needed.

Qualifications:

What does it take to be considered?

  • High school diploma or equivalent
  • Five years’ experience as an office executive assistant, or a combination of education, training and experience.
  • Mental alertness and adaptability to office work routines is required.
  • Can work independently in a fast-paced office environment handling multiple priorities.
  • Detail orientated with a good command of English grammar, composition, spelling and proof reading.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources, and coordination of people and resources.
  • Able to deal professionally and tactfully with customers, employees and senior management. 
  • Ability to make decisions in a timely and professional manner. 
  • Demonstrates analytical abilities, initiative and problem-solving skills.
  • Knowledge of the transportation industry and fleet safety a plus.

High School (Required), Bachelors: Human Resources Management, Bachelors: Business Administration/Management, Bachelors: Economics, Bachelors: Mathematics
