Job Summary:
Under general supervision, this position provides administrative and project management support for Sr. Vice Presidents, Vice Presidents, and/or a large department within J.B. Hunt.   

Job Description:

Key Responsibilities:

  • Act as a liaison and interface with employees at all levels, other departments and outside agencies, including high-level staff such as CEO’s, Chiefs, Presidents, Senior Vice Presidents, Directors, etc
  • Manage staff performing office support duties and assist office staff with day-to-day projects as required
  • Maintain vacation schedule, company guidelines for travel and master schedule of whereabouts for staff
  • Maintain confidential and non-routine information and act as project manager for special projects pertaining to leadership staff
  • Schedule and coordinate meetings, conference calls, projects, internal/external kick off events, staff appreciation events and other activities or events, including room set-up, facility utilization, etc
  • Identify and implement systems to streamline and gain efficiencies in work processes
  • Handle incoming communications such as answering and screening calls, taking messages and answering routine questions, including attending to letters, emails, and visitors when necessary
  • Process accounting aspects for the department including invoices and financial statements, as well as issue resolution, data entry and customer service
  • Attend office and/or business meetings including developing agendas and recording and communicating meeting outcomes and action items
  • Prepare, develop, edit and maintain various documentation including, but not limited to, internal and/or external reports, memos, letters, presentation materials, etc
  • Complete a variety of administrative projects and tasks using diverse software applications
  • Assist management or professional staff with the completion of their duties, including reporting, filing, researching, and project support
  • Prepare for new hires' first day by ordering all assets, submitting requests for security setup, handling training schedule, etc
  • Administer appropriate office systems and services, including system access, vendor management, and electronic and/or hard copy data storage


Minimum Qualifications:

  • High School Diploma or GED Equivalent with more than 5 years of professional experience.

Preferred Qualifications:

  • Bachelor's Degree or relevant work experience in Business
  • Ability to type quickly and accurately
  • Communication skills
  • Computer skills with Microsoft programs
  • Data entry experience
  • Detail oriented
  • Experience in an administrative role
  • Experience in event/project coordination
  • Experience prioritizing and coordinating schedules
  • Experience working in a fast-paced environment
  • File management
  • Self-motivated
  • Ability to maintain confidentiality
  • Travel likely.
